A rent receipt for HRA is a short signed acknowledgement from your landlord that you paid a stated amount of rent for a stated period and property. At minimum it needs the tenant's name, landlord's name, property address, rent amount in figures and words, the period covered, payment mode, date and the landlord's signature. Your employer's payroll team uses it to support the HRA exemption you claim, so the details must match across every receipt.
Key takeaways
- Every receipt needs the same core details: who paid, who received, how much, for which period, for which property, and the landlord's signature.
- Monthly or quarterly receipts are both common. Follow your employer's instruction.
- Employers often ask for the landlord's PAN when rent crosses a limit they apply under income-tax rules. Check with payroll.
- Paying by bank transfer or UPI gives you a stronger trail than cash.
- HRA exemption generally matters only if you are in the tax regime that allows it. Confirm with your CA.
What a rent receipt must show
| Field | Example | Why it matters |
|---|---|---|
| Receipt number | RR/2026-27/07 | Makes each receipt unique |
| Date of receipt | 05-10-2026 | When the landlord received payment |
| Tenant name | Sneha Kulkarni | Must match your payroll records |
| Landlord name | Mohan Joshi | Must match the rent agreement |
| Property address | Flat 304, Shanti Residency, Kothrud, Pune 411038 | Same on every receipt |
| Rent amount | ₹22,000 (Rupees Twenty-Two Thousand only) | Figures and words should agree |
| Period | October 2026 | Avoid gaps or overlaps |
| Payment mode | UPI / bank transfer / cheque / cash | Supports the claim |
| Landlord PAN | If your employer asks | Often required above a limit |
| Landlord signature | Signed | Without it, the receipt is weak |
Our amount in words converter handles the words part in Indian numbering, which is where receipts most often have typos.

Monthly, quarterly or annual?
- Monthly receipts are the cleanest. One receipt per payment, dated when the rent was received.
- Quarterly receipts are common when landlords dislike signing twelve times a year. Each covers three months and the total paid.
- A single annual receipt is sometimes accepted, but some payroll teams prefer monthly or quarterly. Ask before you rely on it.
Whatever you choose, the periods must run continuously with no gaps. If you moved house mid-year, you will have two sets of receipts with different landlords and addresses.
Worked example: a year of receipts
Sneha works for a company in Pune and pays ₹22,000 a month by UPI. Her payroll team asks for receipts quarterly and, because her annual rent crosses the limit they apply, her landlord's PAN.
She uses a receipt generator to create four quarterly receipts: April–June, July–September, October–December and January–March. Each shows ₹66,000 (Rupees Sixty-Six Thousand only), the same address, the landlord's name and PAN, and "UPI" as mode. Her landlord signs all four.
In January the rent rises to ₹23,500. The January–March receipt shows ₹70,500 and notes the revised rent. Sneha keeps her UPI statements and the rent agreement alongside the receipts in case payroll or the tax department asks.
Landlord PAN and other rules to check
Income-tax rules and employer policies decide when extra documentation is needed. Two common requests:
- Landlord's PAN when annual rent paid crosses a limit. Payroll will tell you the threshold they apply. If the landlord does not have a PAN, payroll may ask for a declaration from the landlord instead.
- A revenue stamp on receipts for cash payments above a small amount. Some employers ask for this; others do not. Follow their instruction.
Rules change, and employers interpret them differently. Ask payroll in April what they want for the year, and ask your CA if you have doubts about the exemption itself. This is general information, not legal or tax advice.
Mistakes payroll teams reject
- Different addresses across receipts (a missing flat number counts).
- Amount in words that does not match figures.
- Missing signature or a signature that varies wildly.
- Overlapping periods, such as two receipts both covering September.
- Receipts in the name of a spouse when you are claiming the HRA. The tenant name should be the employee claiming it, unless your payroll accepts otherwise.
- Paying rent to a relative without a genuine arrangement. Rent paid to parents can be claimed in some cases, but it should be a real arrangement with real payments and the parent reporting the income. Discuss it with your CA.
Cash, UPI or bank transfer?
Cash payments are legal, but they leave only the receipt as evidence. UPI and bank transfers create an independent record that supports the receipt. If your landlord prefers UPI, you can even put their UPI QR code on the receipt template; our UPI QR code generator creates one.
Frequently asked questions
What details are compulsory on a rent receipt for HRA?
Tenant name, landlord name, property address, rent amount in figures and words, period covered, date, payment mode and the landlord's signature. Add the landlord's PAN if your employer asks for it.
Is a rent receipt valid without a revenue stamp?
For payments by bank transfer or UPI, a revenue stamp is generally not expected. Some employers ask for one on cash receipts above a small amount. Follow your payroll team's instruction.
Can I submit one rent receipt for the whole year?
Some employers accept an annual receipt; many prefer monthly or quarterly ones. Ask payroll at the start of the year and follow their format.
Do I need my landlord's PAN for HRA?
Employers commonly ask for it once annual rent crosses a limit set under income-tax rules. Ask payroll for the threshold they apply. If the landlord has no PAN, they may accept a declaration instead.
Can I claim HRA for rent paid to my parents?
It can be possible if the arrangement is genuine, rent is actually paid and the parent reports it as income. Keep a rent agreement and payment trail, and check with your CA before claiming.
Bottom line
A rent receipt only needs a few details, but they must be consistent on every receipt. Generate monthly or quarterly receipts in rent mode with our free payment receipt maker, and see our payment receipt format guide for other receipt types.
