How it works

File your IOB EDF in five steps

Most exporters finish in under five minutes. Next month it's faster — your business and bank details are already filled.

  1. Enter your business once

Name, address, PAN, GSTIN, IE code and exporter category. It's remembered on this device — or in your free account.

  2. Add your bank

Pick your AD bank and branch and enter the AD code (ask your branch if you don't have it).

  3. List the month's invoices

One row per invoice in Part 2B. One EDF can cover every client you billed that month.

  4. Answer the declaration

I/We, who pays, received or to be received, currency. We strike out the words that don't apply for you.

  5. Download and submit

Download the PDF or Word file, sign it and submit it to your bank within 30 days of month end.

EDF for Indian Overseas Bank: how to fill and submit it

Service exporters whose foreign payments land in an Indian Overseas Bank account file their monthly EDF with IOB, their AD bank. The form is RBI's standard EDF; what IOB decides is how it accepts it, so your first task is to ask your branch which channel it uses and which branch AD code goes in field 1.6. After that, filing becomes a short routine each month.

Key takeaways

  • IOB acts as your AD bank if your export receipts arrive in your IOB account.
  • Field 1.6 needs the AD code of the IOB branch that handles your export transactions; it differs from IFSC and SWIFT.
  • IOB publishes its own policy on accepting EDFs; confirm the channel with your branch rather than guessing.
  • File within 30 days from the end of the invoice month; one EDF covers every invoice raised that month.
  • Collect IOB's FIRA or payment advice for each receipt to close entries in EDPMS.

How IOB fits into the EDF process

The Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026, in force from 1 October 2026, route service export declarations through AD banks. If you export services other than software and you are not in an SEZ, your EDF goes to your AD bank. Software exporters may use the AD bank or STPI. SEZ units go to the Development Commissioner.

If your business has banked with Indian Overseas Bank for years, often through a single branch, that relationship is useful now: a branch manager who already knows your business can tell you exactly how IOB wants to receive the form.

Once you submit, IOB has five working days to enter the EDF into EDPMS. Each invoice then waits as an open item until the matching payment arrives.

Before your first IOB filing

Work through this list once. You will not need to repeat most of it.

Task How to do it Done once or monthly
Confirm IOB is an AD bank for your account Ask the branch which branch handles export transactions Once
Get the AD code Ask the branch to confirm it in writing Once
Learn the submission channel Ask whether IOB takes EDFs at the branch, by email or online Once (recheck if policy changes)
Ask about attachments Invoices, covering letter, signed or digitally signed copy Once
Ask about the ₹10 lakh declaration How often and in what form Once
Prepare and submit the EDF One form for the month's invoices Monthly
Collect FIRAs and match receipts Keep with your register Monthly

If you prefer a formal written request for the AD code, our AD code request letter is ready to adapt. Some exporters also send a short covering letter with each EDF; the EDF cover letter format is there if IOB asks for one.

Filling the EDF for IOB

The fields do not change by bank. What changes are the bank-specific entries in Part 1:

  • 1.6 AD code: the IOB branch code for export transactions
  • 1.10 AD bank name and address: Indian Overseas Bank, with the full branch address

Everything else is about your business and invoices. Mode of delivery (1.4) is usually Internet for online services. Mode of realisation (1.12) is usually Others. Part 2B gets one row per invoice, with client name and address, country, invoice number and date, currency, amount, net realisable value, description, SAC code, contract reference and remarks.

The IOB version of our EDF form has the bank name set, so you add your branch details and invoices.

Example: a small engineering firm in Coimbatore

Kaveri Design Engineers, a partnership firm, does CAD drafting for clients in Germany and Australia and banks with IOB. In January 2027 it raises three invoices:

  • 8 January: German client, EUR 5,400, mechanical drafting
  • 19 January: Australian client, AUD 3,800, structural drawings
  • 27 January: German client, EUR 2,150, revision work

Because February 2027 has 28 days, the January EDF is due on 2 March 2027, not 28 February. Kaveri prepares one EDF with three rows, ticks Services, Internet and Others, fills its IOB AD code, totals the rupee value and signs Part 4. It submits through the channel its branch confirmed and keeps the acknowledgement.

Each invoice must be realised within nine months of its own date: 8 October 2027, 19 October 2027 and 27 October 2027. As the euro and Australian dollar payments arrive, IOB matches them. All three invoices are below ₹10 lakh, so Kaveri can close them with a periodic realisation declaration.

Following up after submission

Most problems surface after filing, not before. A simple follow-up rhythm:

Weekly: check whether any foreign credits are pending at IOB. If the bank is waiting for an EDF, submit it and send the acknowledgement.

Monthly: collect FIRAs or advices for the month's receipts and tick off matched invoices in your register. Check that the purpose code on each FIRA fits your service.

Quarterly: send the realisation declaration for invoices up to ₹10 lakh, using our realisation declaration tool.

Before month nine: for any invoice still unpaid, ask IOB in writing for an extension, with reasons.

This is general information, not legal or tax advice. IOB's own published policy and your branch's guidance take priority over anything general.

When things do not line up

Three situations come up often:

  1. Client paid into a different bank. The EDF should go to the bank that receives the money. Ask both banks how to proceed.
  2. Purpose code looks wrong on the FIRA. Ask IOB to correct it promptly; a mismatched code can complicate matching.
  3. Amount received is lower than invoiced because of bank charges abroad. Use the net realisable value column and remarks to explain, and keep the SWIFT advice showing deductions.

Frequently asked questions

Does Indian Overseas Bank accept EDFs from service exporters?

IOB is an AD bank, and under the 2026 Regulations service exporters outside an SEZ file their EDF with their AD bank. Ask your branch how IOB accepts the form, since each bank publishes its own process.

What is the IOB AD code and where do I get it?

It is the code that identifies the IOB branch handling your export transactions. Ask your branch to confirm it in writing. Do not use the IFSC or SWIFT code in its place.

When is the January 2027 EDF due at IOB?

Invoices dated in January 2027 must be declared by 2 March 2027, because February 2027 has only 28 days. The rule is 30 days from the end of the invoice month.

Do I attach invoices to the EDF?

The EDF lists invoice details in Part 2B. Whether IOB wants copies attached depends on its policy. For invoices above ₹10 lakh, expect to provide the invoice and payment evidence when closing the entry.

Can I file one EDF if I have clients in several countries?

Yes. One EDF per month can cover all your service exports to one or more recipients in any countries. Each invoice is a separate row with its own country.

Bottom line

With IOB, as with any AD bank, the EDF is a monthly habit built on two one-time answers: your AD code and the bank's accepted channel. Get those from your branch, then use the free IOB EDF form each month.

Part 4 offers pairs of alternatives — I/We, buyer/third party, will be received/has been received, foreign exchange/Indian Rupees. Your answers in step 5 decide which words stay; we draw the line through the rest, exactly as you would with a pen.

The layout follows the structure of RBI's Annex (Parts 1–5, fields 1.1–1.22). If your bank hands you its own printed version, use theirs. This tool is a document generator, not legal or tax advice — you remain the declarant.

Questions

EDF form FAQs

What is the EDF form?

The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).

When is the EDF due?

Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.

Can one EDF cover several clients?

Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.

Which parts does a service exporter fill?

Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.

Do individual freelancers have to file the EDF?

On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.

By when must I get paid?

Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.

What is the AD code and where do I get it?

The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.

Is my data uploaded anywhere?

No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.

Does the EDF change my GST or income tax?

No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
