A payment receipt is your written acknowledgement that you received money from a customer, and a good one answers five questions at a glance: who paid, how much, when, how, and for what. The core fields stay the same for cash, cheque and UPI; what changes is the payment detail line, such as the cheque number and "subject to realisation" for cheques, or the UPI transaction reference for digital payments. Number every receipt and keep a copy.
Key takeaways
- Every receipt needs a unique number, date, payer name, amount in figures and words, payment mode, purpose and your signature.
- Cash receipts should be issued immediately and signed by the person who took the cash.
- Cheque receipts should note the cheque number, bank and date, and say the receipt is subject to realisation.
- UPI receipts should quote the UPI transaction ID or UTR so the payment can be traced.
- A receipt is not an invoice. For advances against taxable supplies, GST may require a specific document, so check with your CA.
Receipt versus invoice: do not mix them up
An invoice asks for payment; a receipt confirms it. A business might send an invoice on 1 October and issue a receipt on 12 October when the money arrives. Some small businesses issue a "cash memo" that does both jobs at the counter.
Under GST, if you receive an advance before supplying taxable services, the rules can require a document recording that advance. Whether your plain receipt meets that need, or you need a specific GST format, is a question for your CA. For completed supplies, your tax invoice remains the primary document and the receipt is supporting evidence.
The fields every receipt should have
| Field | Example | Notes |
|---|---|---|
| Receipt number | RCPT/26-27/0148 | Sequential, never reused |
| Date | 12 October 2026 | Date money was received |
| Received from | Meridian Interiors, Nashik | Payer's full name |
| Amount (figures) | ₹48,500 | Use Indian digit grouping |
| Amount (words) | Rupees Forty-Eight Thousand Five Hundred Only | Prevents tampering |
| Payment mode | Cash / Cheque / UPI / bank transfer | One per receipt where possible |
| Payment details | Cheque no., bank, date / UPI ref | Mode-specific; see below |
| Towards | Invoice no. INV/26-27/112 dated 1 Oct 2026 | Links money to a bill |
| Balance due (optional) | ₹0 or ₹15,000 | Useful for part payments |
| Received by | Name, signature, seal | Who accepted the money |
The amount in words converter handles lakh and crore correctly, which matters on larger receipts.
How the payment mode changes the receipt
Cash
Issue the receipt on the spot. Write "Received in cash" and have the person who counted the money sign it. If you have a shop or office with several staff collecting cash, add the collector's name. Keep a duplicate or counterfoil.
Income-tax law restricts cash receipts above certain limits in some situations. We are not quoting figures here; ask your CA what applies to your business before accepting large amounts in cash.
Cheque
A cheque is a promise until it clears. Your receipt should therefore say so:
"Received by cheque no. 004512 dated 10 October 2026 drawn on [Bank], [Branch], for ₹48,500, subject to realisation."
If the cheque bounces, the receipt's own wording shows it was conditional. Record the cheque details carefully; you will need them if you ever have to follow up.
UPI
UPI payments leave a clean digital trail. Quote the reference so anyone can match it to your bank statement:
"Received via UPI, transaction ID 6283XXXXXX17, on 12 October 2026, from meridian@[bank handle], ₹48,500."
Display a static or invoice-specific QR code to make payment easier. Our UPI QR code generator creates one for your VPA, which you can print on invoices or at the counter.
Bank transfer (NEFT/RTGS/IMPS)
Quote the UTR number and date of credit. For foreign payments to exporters, your bank's FIRA or advice is the authoritative proof of the inward remittance; a receipt you send the overseas client is a courtesy, not a substitute.

Part payments and instalments
When a customer pays in parts, issue a receipt for each payment and show the running balance. Keep the "towards" line pointing at the same invoice. For a ₹1,20,000 invoice paid in three instalments of ₹40,000, you would issue three receipts, each referencing the invoice and showing balances of ₹80,000, ₹40,000 and nil.
Never issue a single receipt for the full amount in advance of receiving it. If a cheque is post-dated, wait until you deposit it, or issue a receipt clearly marked "post-dated cheque received, subject to realisation".
Numbering and record keeping
- Use a separate series for receipts, distinct from invoices, with the financial year in the prefix (RCPT/26-27/...).
- Never skip or reuse numbers. If you cancel a receipt, mark it "cancelled" and keep it.
- Store a copy, digital or carbon, for as long as your CA advises for accounting records.
- Reconcile receipts against bank credits monthly; UPI and transfer references make this quick.

Frequently asked questions
What should a payment receipt include?
A unique receipt number, date, payer's name, amount in figures and words, payment mode with details (cheque number or UPI reference), what the payment is for, any balance due, and the signature of the person receiving it.
Is "subject to realisation" needed on a cheque receipt?
It is good practice. A cheque is not money until it clears, and the phrase makes clear the receipt depends on the cheque being honoured.
Do I need to issue a receipt for UPI payments?
Not always, since the UPI app shows a confirmation, but customers and accountants often want one, especially for business payments. A receipt that quotes the UPI transaction ID links the payment to your invoice.
Is a payment receipt the same as a GST invoice?
No. An invoice records a supply and the amount due; a receipt confirms money received. For advances against taxable supplies, GST may require a specific document, so check the format with your CA.
Can I issue one receipt for several invoices?
Yes, if one payment covers several invoices. List each invoice number and the amount applied to it in the "towards" line so the allocation is clear.
