EDF for IDBI Bank: how to fill and submit it
Services exporters whose foreign receipts are credited to IDBI Bank file their monthly EDF with IDBI Bank as their AD bank. The form is the same Annex EDF used by every bank, but the submission channel and any supporting documents follow IDBI Bank's own published policy, so confirm both with your branch before the first filing. Get the bank-related fields right and most of the friction disappears.
Key takeaways
- IDBI Bank is your AD bank for the EDF if your export proceeds land in your IDBI Bank account.
- Four EDF fields relate directly to your bank: 1.6 AD code, 1.10 AD bank name and address, 1.12 mode of realisation and 1.19 AD for L/C or BG.
- The EDF is due within 30 days from the end of the invoice month, whatever the bank.
- If you use more than one bank for export receipts, agree which bank receives which EDF.
- When a form comes back, fix the specific issue and resubmit quickly; the clock keeps running.
Who files with IDBI Bank
The 2026 export regulations route services EDFs to the AD bank for exporters outside an SEZ. The AD bank is normally the one where the foreign currency is received, so if your clients wire money to IDBI Bank, that is where your EDF goes.
Two exceptions are worth knowing. Software exporters may file with the AD bank or with STPI, since both are specified authorities now and STPI certification is no longer mandatory. And units inside an SEZ file with the SEZ Development Commissioner, not with the bank.
If your receipts are split, for example older clients paying into one bank and new clients into IDBI Bank, read our note on using multiple banks for exports before deciding how to divide your invoices.
The bank fields on the EDF, explained
Most rejections that involve the bank come from four fields. Here is what each one needs.
| Field | What to enter | Where to get it |
|---|---|---|
| 1.6 AD code | The AD code for the IDBI Bank branch handling your exports | Your branch or relationship manager |
| 1.10 AD bank name and address | IDBI Bank and the address of that AD branch | Same source as the AD code |
| 1.12 Mode of realisation | Usually "Others" for direct transfers and advances | Your contract and payment terms |
| 1.19 AD for L/C or BG | Only if a letter of credit or bank guarantee is involved | Usually N/A for services |
The AD code is the one people most often get wrong. It is a bank code for export transactions, distinct from the IFSC on your cheque book and from the SWIFT code your clients use to wire money. If your account branch does not handle foreign exchange itself, the AD code may belong to another IDBI Bank branch, and field 1.10 should then show that branch's address.
Preparing and sending the form
Start with the month's invoices. Every service invoice raised in the month goes into Part 2B as its own row, even if you have several clients in several countries. One EDF covers them all.
Fill Part 1 once, add the Part 2B rows, complete the Part 4 declaration by striking out the alternatives that do not apply, and sign. The IDBI Bank EDF form on our site pre-fills the bank name so you can concentrate on the invoice details.
Then send it the way IDBI Bank asks. Banks must publish their own EDF acceptance policies, and the channel may be the branch, an email address the branch gives you, or a net-banking trade option. Ask your branch which applies and what, if anything, should be attached, such as invoice copies or a covering letter.
A worked example: switching export receipts to IDBI Bank
Ridgeback Engineering Services Pvt Ltd, a Pune firm doing CAD and engineering drawings for clients abroad, decided in December 2026 to move all export collections to its IDBI Bank current account. From 1 December, it asked every client to update its bank details.
Its November invoices were paid into the old bank, so the November EDF, due by 30 December 2026, went to the old bank. From December onwards, Ridgeback files with IDBI Bank. Its December EDF had five invoice rows:
| Client country | Currency | Amount | Rupee value (book rate) |
|---|---|---|---|
| Germany | EUR | 6,200 | ₹5,89,000 |
| Germany | EUR | 2,900 | ₹2,75,500 |
| United States | USD | 4,800 | ₹4,23,360 |
| Canada | CAD | 3,500 | ₹2,22,950 |
| United Kingdom | GBP | 1,750 | ₹1,96,700 |
| Total | ₹17,07,510 |
The total went into field 1.22, and the form was due by 30 January 2027. One German client paid its December invoice into the old bank by mistake, so Ridgeback wrote to both banks explaining the situation and asked how they wanted that receipt matched. Handling it early avoided an open EDPMS entry later.
When the form comes back
A returned EDF is not a disaster, but it does eat into your 30-day window. Common reasons include a wrong AD code, a rupee total that does not add up, a missing invoice row or an unsigned declaration.
Read the bank's note carefully, fix only what is asked, re-sign if needed and resubmit through the same channel. Keep both versions. If the deadline has already passed because of the return, explain the reason in your covering note; the AD bank may accept a delayed EDF for reasonable cause.
After payment: FIRA and closure
When a client pays, IDBI Bank should give you a FIRA, FIRC or advice showing the remittance details and purpose code. Check that the purpose code suits your service. If you do not receive one, a short FIRC request letter is the simplest way to ask.
For invoices up to ₹10 lakh, the bank may close the EDPMS entry on your periodic declaration that payment was received. Larger invoices need payment evidence and matching instructions. Track each invoice against the 9-month realisation deadline; the EDF due date calculator shows filing and realisation dates for any invoice date.
IDBI Bank sets its own process for all of these steps, so treat this as a framework and confirm specifics with your branch. This is general information, not legal or tax advice.
Frequently asked questions
How do I find the AD code for my IDBI Bank account?
Ask your branch or relationship manager for the AD code linked to your account for export transactions. It may belong to a different branch from the one where you opened the account. Get it in writing and use it consistently in field 1.6.
Can I file one EDF for clients in different countries?
Yes. One EDF per month covers all service exports of that month to one or more recipients. Each invoice gets its own row in Part 2B, with that client's country and currency.
What should I do if a client pays the wrong bank?
Inform both banks promptly, with the invoice number, amount and remittance details. Ask them how they want the receipt matched to your EDF entry, and keep their replies on file.
Does IDBI Bank need my GSTIN and PAN on the EDF?
The EDF has fields for GSTIN (1.8) and PAN (1.9), and both should be filled where you have them. These are part of the standard form, not an IDBI-specific requirement.
What happens if IDBI Bank does not acknowledge my EDF?
Follow up with the branch or relationship manager, quoting the date and channel you used. Keep a copy of what you sent, and record any reference you receive, so you can show the form was submitted on time.
Bottom line
With IDBI Bank, as with any AD bank, accuracy in the bank fields and a quick check on the accepted channel do most of the work. Prepare your monthly form with our free IDBI Bank EDF form and keep a record of every submission.

EDF form FAQs
What is the EDF form?
The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).
When is the EDF due?
Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.
Can one EDF cover several clients?
Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.
Which parts does a service exporter fill?
Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.
Do individual freelancers have to file the EDF?
On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.
By when must I get paid?
Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.
What is the AD code and where do I get it?
The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.
Is my data uploaded anywhere?
No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.
Does the EDF change my GST or income tax?
No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
