EDF for HDFC Bank: how to fill and submit it
If your foreign client payments land in an HDFC Bank current account, HDFC Bank is normally your AD bank for the monthly Export Declaration Form. You file one EDF per month covering all that month's service invoices, within 30 days from the end of the month, using whichever channel HDFC Bank has published for accepting EDFs. The single most useful thing you can do before your first filing is ask your relationship manager or branch exactly how they want it.
Key takeaways
- HDFC Bank acts as your AD (Authorised Dealer Category-I) bank if your export proceeds come into your account there.
- Every bank must publish its own EDF acceptance policy under Regulation 19, so confirm HDFC Bank's channel with your RM or branch rather than relying on hearsay.
- You need the AD code of your HDFC branch for field 1.6 of the EDF. It is not your IFSC.
- Attach what HDFC Bank asks for; a signed EDF and copies of the month's invoices are a sensible baseline.
- After filing, the bank should enter the EDF into EDPMS within 5 working days.
Is HDFC Bank your AD bank?
The AD bank is normally the bank where your foreign money lands. If your US or European clients wire funds to your HDFC Bank current account, the EDF goes to HDFC Bank. If you use HDFC Bank for salaries and a different bank for inward remittances, the EDF goes to the other bank.
Some exporters split receipts across banks. In that case, think carefully about which bank tracks which invoice, because the bank that holds the EDF needs to see the matching remittance to close the entry. Our article on using multiple banks for exports works through the options.
Step 1: get your HDFC Bank AD code
Field 1.6 of the EDF asks for the AD code. This code identifies the bank branch for export transactions. It is different from the IFSC (used for domestic transfers) and the SWIFT code (used by foreign banks to route money).
To get it:
- Ask your relationship manager or the branch that holds your current account.
- If you already have an IE code with DGFT, your AD code may already be linked to it; still confirm with the branch that it is current.
- If you need it in writing, send a short request. Our AD code request letter is a ready format.
Record the code in your EDF register so nobody has to ask again.
Step 2: confirm how HDFC Bank accepts EDFs
Regulation 19 of the 2026 export regulations requires banks to publish their own policies on accepting EDFs. That is why the channel differs from bank to bank. With HDFC Bank, as with any bank, the possibilities generally include submitting at the branch, sending by email to a designated address, or uploading through an online trade or business banking facility.
We are not going to guess at portal menus or email IDs, because they change and getting it wrong wastes your time. Ask your RM these questions instead:
| Question to ask HDFC Bank | Why it matters |
|---|---|
| Which channel do you accept EDFs through for my account? | Avoids sending to the wrong desk |
| Do you need a physical signature, a scan or a digital signature? | Prevents rejection on format |
| What should I attach with the EDF? | Saves a back-and-forth |
| How will you confirm the EDF has been entered in EDPMS? | Gives you proof for your records |
| Who do I contact if a remittance is held for want of an EDF? | Speeds up release |
Write the answers down. Next month the process should take a fraction of the time.
Step 3: prepare the EDF
Fill the form as a services exporter would for any bank. Part 1 carries your details (IE code, GSTIN, PAN, AD code, HDFC Bank branch name and address at field 1.10). Part 2A stays blank. Part 2B lists each invoice of the month as a separate row: recipient, country, invoice number and date, currency, amount, net realisable value, description, SAC code, contract reference and remarks. Part 4 is your declaration with the alternatives struck out.
Our HDFC Bank EDF form fills the bank details for you, so you only add your own information and invoices.
Worked example. Meridian Code Works Pvt Ltd, a Gurugram software firm banking with HDFC Bank, raised these invoices in October 2026:
- MCW/0412, 2 October: USD 12,500 to a client in Texas
- MCW/0419, 16 October: USD 4,800 to a client in Ontario
- MCW/0427, 29 October: GBP 3,900 to a client in Manchester
It prepared one EDF with three Part 2B rows, ticked "Software" at 1.1 and "Internet" at 1.4, and submitted through the channel its RM confirmed, on 20 November 2026, ten days ahead of the 30 November due date.
Step 4: FIRA and payment evidence from HDFC Bank
When foreign money arrives, ask HDFC Bank for the FIRA or FIRC, its proof of the inward remittance with the purpose code. You will need these documents to match payments to invoices for invoices above ₹10 lakh, and they are useful for GST refund claims and your own records. Our guide on getting FIRA or FIRC from HDFC Bank covers what to check on the document.
Check the purpose code on each remittance. If it does not reflect your service (for example, P0802 for software consultancy versus P0807 for off-site software exports), raise it promptly rather than at year end.
Step 5: follow up and close
After you submit, the bank must enter the EDF into EDPMS within 5 working days. Then each invoice stays open until realised, within 9 months of the invoice date (12 months for rupee invoices). For invoices up to ₹10 lakh, HDFC Bank may close entries on your periodic realisation declaration; above that, it needs documents and matching instructions.
If a remittance is held because no EDF is on record, send the EDF and a short covering note quoting the remittance reference.

Frequently asked questions
Where do I submit the EDF at HDFC Bank?
HDFC Bank, like every AD bank, publishes its own policy on how it accepts EDFs. Ask your relationship manager or home branch which channel applies to your account, whether branch, email or an online facility, and keep their answer on record.
Is the HDFC Bank AD code the same as the IFSC?
No. The IFSC routes domestic payments; the AD code identifies the branch for export transactions. Ask your branch for the AD code and enter it at field 1.6 of the EDF.
Can I file one EDF for all my HDFC Bank export receipts in a month?
Yes. One EDF can cover all your service export invoices raised in a month, to one or more clients. Each invoice is a separate row in Part 2B.
What if HDFC Bank holds a foreign remittance because of a missing EDF?
Submit the EDF for the relevant month as quickly as possible, with a covering note quoting the remittance details. A bank may accept a delayed EDF for reasonable cause, so explain briefly why it was late.
Bottom line
For HDFC Bank customers, the EDF is a monthly routine once you have three things settled: your AD code, the bank's accepted channel and a clean invoice list. Ask your RM once, write it down and repeat. Generate a pre-filled form with our free HDFC Bank EDF generator.

EDF form FAQs
What is the EDF form?
The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).
When is the EDF due?
Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.
Can one EDF cover several clients?
Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.
Which parts does a service exporter fill?
Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.
Do individual freelancers have to file the EDF?
On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.
By when must I get paid?
Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.
What is the AD code and where do I get it?
The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.
Is my data uploaded anywhere?
No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.
Does the EDF change my GST or income tax?
No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
