How it works

File your Kotak EDF in five steps

Most exporters finish in under five minutes. Next month it's faster — your business and bank details are already filled.

  1. Enter your business once

Name, address, PAN, GSTIN, IE code and exporter category. It's remembered on this device — or in your free account.

  2. Add your bank

Pick your AD bank and branch and enter the AD code (ask your branch if you don't have it).

  3. List the month's invoices

One row per invoice in Part 2B. One EDF can cover every client you billed that month.

  4. Answer the declaration

I/We, who pays, received or to be received, currency. We strike out the words that don't apply for you.

  5. Download and submit

Download the PDF or Word file, sign it and submit it to your bank within 30 days of month end.

EDF for Kotak Mahindra Bank: how to fill and submit it

If your foreign payments land in a Kotak Mahindra Bank account, Kotak is normally your AD bank and the place your monthly EDF goes. The form is the standard Annex EDF from the 2026 Regulations; what is specific to Kotak is only the channel and the documents its trade team wants alongside it. Banks must publish their own EDF acceptance policies, so start by asking your relationship manager or home branch exactly how Kotak wants to receive it.

Key takeaways

  • The EDF form is identical for every bank. Kotak's process decides how you send it, not what goes in it.
  • Confirm Kotak's AD code for your branch in writing before filling field 1.6. It is not your IFSC.
  • Ask your RM or branch for Kotak's published EDF policy: branch submission, an email address the bank gives you, or a net-banking trade facility.
  • File within 30 days from the end of the invoice month, one EDF covering all that month's invoices.
  • Request a FIRA or payment advice for every foreign credit, and keep the bank's EDF acknowledgement.

Step 1: Confirm Kotak is really your AD bank

Your AD bank is normally the Authorised Dealer Category-I bank where the foreign money lands. If clients pay into your Kotak current account, the EDF goes to Kotak. If you also receive in another bank, the invoices whose money lands there belong on that bank's EDF.

A quick sanity check: look at last month's foreign credits. If every one carries a Kotak reference and a Kotak advice, you have one AD bank and life is simple. If credits are split, our guide on using multiple banks for exports explains how to divide the paperwork.

Step 2: Get the AD code for your Kotak branch

Field 1.6 of the EDF needs the AD code, which identifies the bank branch for export transactions. It is different from the IFSC and from Kotak's SWIFT code. Ask your branch or RM for it, ideally by email so you have it on record. If you prefer a formal request, our AD code request letter is ready to adapt.

Record the code in your EDF master details. It rarely changes, but if Kotak moves your account to a different branch or service unit, check again.

Step 3: Ask how Kotak accepts EDFs

Do not guess this part. Each bank decides its own channel under Regulation 19, and we are not going to invent portal menus or email IDs. Ask your RM these questions once and keep the answers in a note:

Question for your Kotak RM or branch Why it matters
Where should the monthly EDF be sent: branch, a specific email, or a net-banking trade module? Decides your routine
Do you want a covering letter, and in what format? Avoids back-and-forth
Should invoices and FIRAs be attached with the EDF, or only on request? Saves scanning effort
Which signature works: wet ink, scanned, or digital signature? Prevents rejection
What acknowledgement will I receive? Proof of filing for your records
Who do I contact if an inward credit is held for want of an EDF? Faster resolution

Write the answers in your compliance file. Next month, you will not need to ask again.

Step 4: Fill the EDF

Use the Kotak version of our EDF generator, which works on the same Annex layout. A typical service exporter fills:

  • 1.1: Services (or Software)
  • 1.4: Internet, for online delivery
  • 1.5: Others, unless you are an SEZ or EOU unit
  • 1.6 and 1.10: Kotak's AD code and branch name and address
  • 1.12: Others, for direct transfers and advances
  • Part 2B: one row per invoice with recipient, country, invoice number and date, currency, amount, NRV, description, SAC, contract reference and remarks
  • 1.22: the rupee total in figures and words

Example: a two-client month

Monsoon Pixel Studios Pvt Ltd banks with Kotak in Pune and raised two invoices in October 2026:

Invoice Client Country Amount Service
MPS/26/210 Harrow & Vale Ltd UK GBP 6,200 Motion graphics
MPS/26/214 Beacon Learning Inc USA USD 9,800 E-learning animation

Monsoon Pixel prepares one EDF with two rows and a rupee total of ₹14,73,400, due to Kotak by 30 November 2026.

Step 5: Submit with what Kotak asks for

The common bundle, subject to what your RM confirms:

  1. Signed EDF.
  2. A short covering letter listing the month, number of invoices and total. Our EDF cover letter fills the gaps.
  3. Copies of the invoices, if requested.
  4. FIRAs or bank advices for any amounts already received, if requested.

Keep the bank's acknowledgement with the month's file. Kotak, like every AD bank, must enter the EDF into EDPMS within 5 working days of receipt.

Step 6: FIRA and realisation follow-up

For each foreign credit, request a FIRA or payment advice from Kotak showing the amount, currency and purpose code. That document supports EDPMS matching, GST refund claims and eBRC generation. We cover the request in detail in how to get FIRA or FIRC from Kotak.

Then watch the 9-month realisation window from each invoice date (12 months for rupee invoices). For invoices up to ₹10 lakh, Kotak may close the EDPMS entry on your declaration that the money has been realised; larger invoices need the invoice, payment evidence and matching instructions.

This is general information, not legal or tax advice. Kotak's own published process always takes precedence over any general guide.

Frequently asked questions

Where do I submit the EDF to Kotak Mahindra Bank?

Through the channel Kotak publishes under its EDF acceptance policy, which may be the branch, an email address the bank provides, or a net-banking trade facility. Ask your relationship manager or home branch to confirm the current route for your account.

What is Kotak's AD code for the EDF?

The AD code is specific to the branch handling your export transactions. Ask your Kotak branch or RM for it in writing. Do not use the IFSC or SWIFT code in field 1.6, as those are different codes.

Does Kotak use a different EDF form?

No. Every AD bank uses the EDF in the Annex to the FEMA (Export and Import of Goods and Services) Regulations, 2026. A bank may ask for a covering letter or supporting documents, but the form itself is the same.

When is the EDF due to Kotak?

Within 30 days from the end of the month in which you raised the invoices. October 2026 invoices are due by 30 November 2026. For services other than software, you may also file on or before the date payment is received.

What if Kotak holds my foreign payment until I give the EDF?

Prepare the EDF for the month in which the invoice was raised and submit it through Kotak's channel, with a note referencing the held credit. If the invoice has not been raised yet, ask your RM which documents will release the funds.

Bottom line

With Kotak, the work is in two conversations with your RM: one to confirm the AD code, one to confirm the submission channel. After that, the monthly EDF is routine. Open the free Kotak EDF form to prepare this month's declaration in a few minutes.

Questions

EDF form FAQs

What is the EDF form?

The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).

When is the EDF due?

Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.

Can one EDF cover several clients?

Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.

Which parts does a service exporter fill?

Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.

Do individual freelancers have to file the EDF?

On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.

By when must I get paid?

Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.

What is the AD code and where do I get it?

The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.

Is my data uploaded anywhere?

No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.

Does the EDF change my GST or income tax?

No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
