EDF for Karur Vysya Bank: how to fill and submit it
If your foreign clients pay into your Karur Vysya Bank (KVB) account, your monthly services EDF goes to KVB as your AD bank. KVB, like every Authorised Dealer bank, sets and publishes its own process for accepting EDFs under Regulation 19, so your first step is a short conversation with your branch or relationship manager about the channel and documents. The form is the standard national EDF, and it is due within 30 days from the end of the month in which you raised your invoices.
Key takeaways
- KVB is your AD bank for the invoices whose payments land in your KVB account.
- Ask KVB for the AD code for your export transactions — it differs from the IFSC on your cheque book.
- Confirm with the branch whether it handles forex itself or works with a designated branch.
- File one EDF a month covering every foreign invoice paid into KVB, one Part 2B row per invoice.
- Keep KVB's FIRA or payment advice for each credit to close the invoice in EDPMS.
Before your first KVB EDF: a five-point check
Many KVB customers are small and mid-sized firms who have been receiving foreign payments for years without filing anything monthly. October 2026 changed that. Before you prepare your first form, settle these five points once:
| # | Check | How to settle it |
|---|---|---|
| 1 | Is KVB the bank receiving your export proceeds? | Look at where client wires actually credit |
| 2 | What is your AD code? | Ask the branch; use our AD code request letter if needed |
| 3 | How does KVB accept the EDF? | Ask your branch or RM — branch, email or online |
| 4 | Who signs for your business? | Use a signatory KVB already has on its records |
| 5 | What purpose code appears on your credits? | Check recent FIRAs or advices; correct if wrong |
Once these are answered, every later month is routine.
Why the branch question matters
Not every branch of every bank handles foreign exchange directly. Some route export work through a designated branch or a central trade team. That affects two things on your EDF: the AD code in field 1.6 and the bank address in field 1.10.
So when you speak to your KVB branch, ask: "For export transactions on my account, which branch's AD code should I use, and where should the EDF go?" Note the answer in your EDF register.
We don't list KVB portal paths, email IDs or forms here, because the bank publishes and updates those itself. Your branch or KVB's trade services information is the authority.
A month in the life: one exporter's KVB routine
Kovai Draftworks Pvt Ltd, a fictional Coimbatore engineering-drawing firm, banks with KVB and serves clients in Australia and the Netherlands. Here's how its November 2026 looks.
| Date | What happens |
|---|---|
| 1–5 Nov | Accounts team lists all October invoices: four, totalling AUD 21,400 and EUR 5,600 |
| 6 Nov | EDF prepared — Part 1 filled, Part 2B has four rows, Part 4 declaration completed |
| 7 Nov | Director signs; cover letter and invoice copies attached |
| 8 Nov | Submitted to KVB through the channel the branch confirmed |
| 8 Nov | Acknowledgement received and recorded |
| 14 Nov | Kovai checks with the branch that the EDF has been taken in |
| 20 Nov | One Australian client pays AUD 6,800; KVB credit advice received; purpose code checked |
| 30 Nov | Statutory deadline for the October EDF — Kovai is three weeks early |
The bank's own obligation is to enter the EDF into EDPMS within 5 working days of receipt, which is why Kovai checks around day six.
Filling the form: the KVB-specific fields
Most of the EDF is about you and your invoices, not the bank. Only a few fields change because you bank with KVB:
- 1.6 AD code: the code KVB gives you for export transactions.
- 1.10 AD bank name and address: Karur Vysya Bank, with the branch name and full address of the branch whose AD code you used.
- 1.19 AD for L/C/BG: usually N/A for services paid by wire.
Everything else follows the general rules. For Kovai:
- 1.1 Type of export: Services (engineering drawing and drafting, not software).
- 1.4 Mode of delivery: Internet — drawings were delivered as files.
- 1.12 Mode of realisation: Others.
- Part 2B: four rows with each client's name, country, invoice number, date, currency, amount, NRV, description, SAC (its CA confirmed the code), contract reference and remarks.
- 1.22 Total value: ₹18,97,400 at its book rates.
Our KVB EDF form pre-fills the bank name so you only add the branch, AD code and invoices. If you are unsure about any field, the complete EDF guide explains each one.
What to attach
Keep the package simple:
- Signed EDF.
- Invoice copies in the same order as Part 2B.
- A cover letter summarising invoices and total.
- FIRA or credit-advice references for invoices already paid.
- Any document your branch specifically asked for.
Some banks ask for the contract or engagement letter the first time a new client appears. Have it ready, but send it only if asked.
After payment: FIRA from KVB and closing entries
When a client pays, KVB's FIRA, FIRC or credit advice confirms the inward remittance. Check it for:
- remitter name (your client, or a disclosed third party)
- currency and amount
- date of credit
- purpose code that fits your service
If the purpose code is wrong — for example, a generic code on a payment for engineering services — ask KVB to correct it promptly. Our purpose code correction letter makes the request clear.
For invoices up to ₹10 lakh, KVB may close the EDPMS entry on your declaration that the money has been realised. The declaration can be periodic, say quarterly. Larger invoices need payment evidence and matching instructions.
This is general information, not legal or tax advice.
Frequently asked questions
Do I submit my EDF to Karur Vysya Bank or to STPI?
If you export services other than software and are outside an SEZ, the EDF goes to your AD bank — KVB if your proceeds land there. Software exporters can choose the AD bank or STPI, as STPI certification is no longer mandatory. SEZ units file with the Development Commissioner.
How do I get the AD code from KVB?
Ask your branch or relationship manager for the AD code used for export transactions on your account. If your branch works through a designated branch for forex, the AD code may belong to that branch. A short written request can help.
What is the due date for my KVB EDF?
The due date is 30 days from the end of the month in which the invoices were raised. October 2026 invoices are due by 30 November 2026, November by 30 December and December by 30 January 2027.
Can I combine invoices for different countries in one KVB EDF?
Yes. One EDF per month can cover all service exports to one or more recipients, in any countries. Each invoice is a separate row in Part 2B with its own country and currency.
What if KVB holds a foreign payment because no EDF was filed?
File the EDF covering that invoice as soon as possible and send it with a short note referring to the held credit. For services other than software, the EDF may be submitted on or before the date payment is received.
Bottom line
For KVB customers, settle the AD code and channel once, then run the same simple routine every month. Fill your form with our free KVB EDF form and you'll have a bank-ready declaration in minutes.

EDF form FAQs
What is the EDF form?
The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).
When is the EDF due?
Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.
Can one EDF cover several clients?
Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.
Which parts does a service exporter fill?
Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.
Do individual freelancers have to file the EDF?
On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.
By when must I get paid?
Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.
What is the AD code and where do I get it?
The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.
Is my data uploaded anywhere?
No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.
Does the EDF change my GST or income tax?
No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
