EDF for Canara Bank: how to fill and submit it
Service exporters who receive foreign payments into a Canara Bank account generally submit their monthly Export Declaration Form to Canara Bank as their AD bank. The EDF covers all of a month's service invoices and is due within 30 days from the end of that month, and Canara Bank, like every bank, sets out its own process for accepting it. For a large public sector bank with a wide branch network, the first job is to confirm which branch handles your foreign exchange business.
Key takeaways
- If your export proceeds land at Canara Bank, Canara Bank is usually your AD bank for the EDF.
- Confirm with your home branch which branch handles your export transactions and what its AD code is.
- Canara Bank publishes its own EDF acceptance policy, as required by Regulation 19. Ask the branch for the channel.
- One EDF per month covers all invoices; invoices dated in October 2026 are due by 30 November 2026.
- Collect FIRA or FIRC for each inward remittance and check the purpose code.
Start with the right branch
In large banks, foreign exchange work is often organised so that certain branches or centralised units handle it, while your account sits at a local branch. We cannot tell you how Canara Bank organises this for your account, and it may differ by region. What you need is a clear answer from your home branch to three questions: which office handles my export transactions, what AD code should I use, and where do I send the EDF?
Getting this right first avoids the most frustrating outcome: a correctly filled EDF sitting at a desk that does not process it.
| What to confirm | Ask whom | Record in |
|---|---|---|
| Branch or unit that handles your export business | Home branch manager | EDF register |
| AD code for that branch | Same branch | EDF field 1.6 and register |
| Accepted channel for EDF submission | Branch / forex desk | Process note |
| Documents to attach | Forex desk | Monthly checklist |
| How EDPMS entry will be confirmed | Forex desk | Process note |
If the branch prefers a written request for the AD code, use our AD code request letter. A short letter on your letterhead is often the fastest route to a written answer.
Filling the EDF for Canara Bank
The form itself is the same for every bank: the Annex to the 2026 export regulations. For a services exporter:
- Part 1: type of export (Services, or Software if applicable), AD code, IE code if you have one, GSTIN, PAN, Canara Bank branch name and address at 1.10, your name and address, mode of realisation, recipient, country of destination, description of services and total value in rupees in figures and words.
- Fields that do not apply: shipping bill, port of loading, port of discharge and LEO date. Mark them N/A.
- Part 2A: leave blank; it is for goods.
- Part 2B: one row per invoice.
- Part 4: sign the declaration and strike out the alternatives that do not apply.
Our Canara Bank EDF form pre-fills the bank name so you can focus on your invoices.
A worked example
Konkan Engineering Drafts, a partnership firm in Mangaluru, prepares CAD drawings for clients in the Middle East and Europe. In October 2026 it raised:
| Invoice | Date | Recipient country | Currency | Amount | SAC (confirm with CA) |
|---|---|---|---|---|---|
| KED/26-27/058 | 7 Oct 2026 | United Arab Emirates | USD | 6,200 | as advised |
| KED/26-27/059 | 19 Oct 2026 | Netherlands | EUR | 3,450 | as advised |
| KED/26-27/060 | 30 Oct 2026 | Oman | USD | 2,100 | as advised |
The partners prepared one EDF with three rows. Field 1.4 was "Internet" since drawings were delivered online, and field 1.12 was "Others" as clients pay by direct transfer. One partner signed as authorised by the partnership, using "We" in the declaration. The firm submitted on 24 November 2026 through the channel its branch confirmed, then logged the submission date and the branch's acknowledgement in its register.
The SAC column shows "as advised" deliberately: engineering services codes need your CA's confirmation, and getting them right matters more for GST than for the EDF.
FIRA from Canara Bank
When each payment arrives, ask Canara Bank for a FIRA or FIRC. It confirms the foreign currency received, the date and the purpose code. Use it to:
- match the payment to the right invoice and EDF month;
- support closure of EDPMS entries for invoices above ₹10 lakh;
- support GST export records and any refund claim.
Check that the purpose code fits your service. For engineering work, P1009 (architectural, engineering and other technical services) is a likely fit, but always confirm with the bank. If the code is wrong, ask for a correction promptly; our purpose code correction letter gives you a format.
After submission: EDPMS and closure
Once Canara Bank receives your EDF, it must enter it into EDPMS within 5 working days. Each invoice then has to be realised within 9 months of its date, or 12 months if invoiced in rupees.
For invoices up to ₹10 lakh, the bank may close the entry on your declaration of realisation, which can be periodic. Larger invoices need the invoice, payment evidence and matching instructions. If a client pays late, request an extension before the window runs out rather than after.
This is general information, not legal or tax advice. For anything specific to your account, Canara Bank's own policy and your CA's advice prevail.
Frequently asked questions
Can I submit the EDF at any Canara Bank branch?
Not necessarily. Ask your home branch which branch or unit handles your foreign exchange and export transactions, and submit through the channel it confirms. This avoids your EDF reaching a desk that does not process it.
Where do I find the AD code for my Canara Bank account?
Ask the branch that handles your export business. The AD code is different from your IFSC and SWIFT code. If you need it in writing, send a brief AD code request letter.
What is the EDF due date for Canara Bank customers?
The same as for every bank: within 30 days from the end of the month in which the invoice was raised. For invoices dated in October 2026, that means by 30 November 2026.
Does Canara Bank need a separate EDF for each client?
No. One EDF per month can cover all your service export invoices to one or more recipients. Each invoice appears as its own row in Part 2B.
Bottom line
With Canara Bank, a little groundwork pays off: confirm the branch that handles your export business, note its AD code and agree the submission channel. After that, the monthly EDF is routine. Prepare yours with our free Canara Bank EDF form generator.

EDF form FAQs
What is the EDF form?
The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).
When is the EDF due?
Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.
Can one EDF cover several clients?
Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.
Which parts does a service exporter fill?
Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.
Do individual freelancers have to file the EDF?
On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.
By when must I get paid?
Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.
What is the AD code and where do I get it?
The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.
Is my data uploaded anywhere?
No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.
Does the EDF change my GST or income tax?
No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
