How to Write a Formal Letter to a Bank Manager (With 10 Templates)

A good letter to a bank manager fits on one page and lets the reader act without calling you: who you are, which account, what you want, by when, and what is enclosed. Write the subject line so precisely that the branch could route the letter from the subject alone, keep the body to two or three short paragraphs, and sign exactly as your signature appears in the bank's records.

Key takeaways

  • Use the standard block format: date, addressee, subject, salutation, body, closing, signature, enclosures.
  • Put the account number and the request in the subject line.
  • One request per letter. Combined requests get partly actioned.
  • Businesses should use letterhead and have authorised signatories sign.
  • Keep a dated copy, and note how and when you handed it in.

The structure every bank letter follows

Part What to write Example
Date The date you sign 14 October 2026
Addressee Branch Manager, bank, branch, address The Branch Manager, [Bank], [Branch]
Subject Request + account number Request for bank statement – Current A/c No. XXXX5521
Salutation Formal and neutral Dear Sir/Madam,
Opening Who you are and your relationship with the branch We hold the above current account with your branch.
Request Exactly what you want, with dates, amounts and references Please issue statements from 1 April to 30 September 2026.
Supporting line Why, if it helps, and what is enclosed Required for our annual audit.
Closing Polite, short Kindly confirm once processed. Yours faithfully,
Signature block Signature, name, designation; seal if your bank uses one For Orchard Lane Exports LLP, [Signature], Partner
Enclosures List each document Copy of PAN; board resolution

Tone: formal, not florid

Bank staff read many letters a day. Plain sentences get faster action than ceremonial ones.

  • Write "Please issue..." rather than "I humbly request you to kindly be so good as to issue...".
  • Give numbers in full: account numbers, amounts with currency, dates.
  • Avoid emotional language even when you are frustrated. State facts and the outcome you need.
  • Use "Yours faithfully" when addressing "Sir/Madam"; use "Yours sincerely" if you name the manager.

A worked example: putting it together

Orchard Lane Exports LLP, a Jaipur design firm, needed a stamped statement for its audit. Its partner wrote:

[On LLP letterhead] 14 October 2026 The Branch Manager, [Bank], [Branch], Jaipur

Subject: Request for stamped account statement – Current A/c No. XXXXXXXX5521

Dear Sir/Madam,

We hold the above current account with your branch. Please issue a stamped and signed statement for the period 1 April 2026 to 30 September 2026, required by our statutory auditors.

Kindly let us know when it is ready for collection.

Yours faithfully, For Orchard Lane Exports LLP [Signature] Ritu Saxena, Designated Partner

Short, specific and signed by a partner on the mandate. It was the kind of letter a branch can process without a phone call.

Business letters: three extra rules

  1. Letterhead. Registered name, address, and identifiers such as CIN or LLPIN. Our free letterhead maker creates one in minutes.
  2. Authorised signatories. Sign in the combination your mandate requires, for example "any two directors jointly".
  3. Resolutions. For changes to signatories, account closure or new facilities, banks commonly ask for a board resolution or partners' authority. Ask the branch what it needs.

Banks publish their own processes and may also accept requests through net banking or service portals. A signed letter remains the universal fallback. This is general information, not legal or tax advice.

Frequently asked questions

How do I start a formal letter to a bank manager?

Start with the date, then "To, The Branch Manager", the bank and branch address, a subject line with your request and account number, and "Dear Sir/Madam". Open the body by stating that you hold the account with that branch.

Should I write "Yours faithfully" or "Yours sincerely"?

Use "Yours faithfully" when you address the reader as "Sir/Madam". Use "Yours sincerely" when you address the manager by name.

Can one letter contain several requests?

It can, but it often slows things down, because different requests go to different desks. Send separate letters for unrelated requests, such as a statement and a purpose code correction.

Who should sign a letter for a company account?

The authorised signatories recorded in the bank's mandate, in the combination it requires. Print their names and designations below the signatures, and use company letterhead.

Do I need to attach documents to a bank letter?

Attach whatever supports the request: ID proof for KYC or contact changes, invoices for remittance queries, client correspondence for extension requests. List enclosures at the end so nothing goes missing.

Bottom line

A bank letter works when the subject line routes it, the body asks for one thing clearly, and the right person signs it. Start from the templates above, or generate a complete, printable letter with our free bank letter generator.
