Invoice Reminder Emails That Get You Paid

The invoice reminder emails that work are short, specific and easy to act on: they name the invoice, the amount and the due date, attach the invoice again and make paying a one-step job. Send a friendly note a few days before the due date, a clear reminder on the day after, and firmer follow-ups at set intervals, rather than one angry email after two months of silence. Templates for each stage are below.

Key takeaways

  • A reminder sequence beats ad-hoc chasing; decide the stages once and reuse them.
  • Every reminder should repeat the invoice number, amount, due date and payment details, with the invoice attached.
  • Keep the tone polite and factual; escalate in clarity, not rudeness.
  • For foreign clients, add bank and SWIFT details and mention any purchase order reference their accounts team needs.
  • Export invoices carry a regulatory clock: realisation within nine months of the invoice date.

Why reminders work

Most late payments are not refusals. The invoice went to the wrong inbox, is waiting for an approver, lacks a PO number, or simply slipped down a busy person's list. A good reminder fixes those problems by putting everything needed to pay in one place.

The other reason is consistency. Clients learn quickly which suppliers follow up and which do not. A predictable, courteous sequence teaches them that your invoices get paid on time.

The reminder sequence

Stage When Tone Goal
1. Courtesy note 3 days before due date Friendly Make sure the invoice is in the system
2. Due-date reminder 1 day after due date Polite, direct Prompt payment
3. Follow-up 7–10 days overdue Firm Get a payment date
4. Escalation 21–30 days overdue Formal Involve a senior contact
5. Final notice 45–60 days overdue Formal, clear consequences Settle or agree a plan

Adjust the timings to your payment terms. A client on Net 45 needs a different rhythm from one on Net 7. Our article on writing payment terms on invoices helps set those up front.

Templates you can adapt

Hi Priya,

A quick note that invoice NL-2627-084 for ₹1,18,000 is due on 20 October 2026. I have attached it again for convenience.

If anything is needed from our side to process it, such as a PO number, just let me know.

Thanks, Rohan

Hi Priya,

Following up on invoice NL-2627-084 for ₹1,18,000, which was due on 20 October 2026 and is now 10 days overdue.

Could you confirm a payment date this week? If there is a problem with the invoice or the work, I would rather hear about it now so we can sort it out.

Regards, Rohan

4. Escalation to a senior contact

Subject: Overdue invoice NL-2627-084 – request for help

Dear Mr Mehta,

I am writing about invoice NL-2627-084 for ₹1,18,000, due on 20 October 2026, which remains unpaid despite reminders on 21 and 30 October. I have copied Priya, who has been very helpful.

Could you help us get a confirmed payment date? The invoice and statement are attached.

5. Final notice

Subject: Final notice: invoice NL-2627-084

Dear Mr Mehta,

Invoice NL-2627-084 for ₹1,18,000 is now 50 days overdue. Unless we receive payment or an agreed payment plan by 15 December 2026, we will pause further work on the account and consider other options available to us under our agreement.

We value working with you and would much prefer to resolve this directly.

Regards, Rohan Desai

Only state consequences you are prepared to follow through on, and check your contract before mentioning interest or legal steps. This is general information, not legal or tax advice.

Adjustments for foreign clients

Chasing a client in another country brings extra friction: time zones, bank holidays, procurement systems and currency. A few changes help:

  • Repeat full bank details in every reminder: account name, number, bank name, SWIFT code and any intermediary bank.
  • Quote the PO number prominently; many foreign accounts teams cannot pay without it.
  • Ask who pays charges. If your contract says the client bears bank charges, remind them to send with charges borne by the sender.
  • Mind time zones. Send so the email lands at the start of their working day.

There is also a regulatory reason to chase. Under the FEMA (Export and Import of Goods and Services) Regulations, 2026, the full value of a services export invoice must be realised within nine months of the invoice date, and each invoice sits as an open entry with your AD bank until it is paid. A client who drifts past six months needs a firmer conversation; if payment will genuinely be late, ask your bank for an extension before the deadline. Our article on protecting your nine-month window covers this.

Small habits that cut late payments

  1. Invoice the day work is delivered, not at month-end.
  2. Send invoices to the accounts payable address as well as your contact.
  3. Include a payment link or QR for domestic clients; our UPI QR code tool creates one.
  4. Keep a simple aging list: invoice, due date, last reminder, next step.
  5. When a client pays, send a short thank-you and a payment receipt. It reinforces the habit.

Frequently asked questions

How soon after the due date should I send a reminder?

The day after the due date is a good default. A courtesy note three days before the due date also helps catch invoices stuck in approval before they become late.

How do I write a polite but firm payment reminder?

State the invoice number, amount and due date, ask for a specific payment date, and attach the invoice. Avoid emotional language; firmness comes from clarity and consistency, not tone.

Should I charge interest on late invoices?

Only if your contract or invoice terms allow it and you are prepared to enforce it. Check your agreement and take advice before threatening interest in a reminder.

What should I include when chasing a foreign client?

Full bank details with SWIFT code, the PO or contract reference, the currency and amount, and a note on who bears bank charges. Send at a sensible hour in their time zone.

When should I stop sending reminders and escalate?

If a client has ignored several reminders over about a month, escalate to a senior contact. If there is still no response after a final notice, consider pausing work and seeking advice on recovery options.

Bottom line

Reminders get paid when they are timely, specific and easy to act on. Set up a five-stage sequence, reuse these templates, and keep foreign invoices on a tighter leash because of the nine-month rule. Send every invoice with clean payment details using the free GST invoice generator.
