Exporting Services to Poland From India: EDF, Invoicing and Payment Guide

Exporting services to Poland from India usually means invoicing in euros or Polish złoty, getting paid by SWIFT or through a euro collection account, and listing every invoice on your monthly EDF with "Poland" as the country. Polish clients may ask for a tax residency certificate before the first payment, because Polish withholding rules can apply to some services paid to foreign suppliers. Sort that out at onboarding and the rest is routine.

Key takeaways

  • Choose EUR or PLN for invoicing; EUR is often simpler to receive in India, but agree it with the client.
  • SWIFT wires and euro collection accounts (paid by SEPA) are the usual routes; check fees and who issues the payment evidence.
  • Polish payers may raise withholding for certain services; India and Poland have a tax treaty (DTAA), and a tax residency certificate is the usual starting document.
  • Each invoice goes on the EDF for its month with Poland in the country column.
  • Realise each invoice within nine months of its date; track it per invoice, not per client.

Who you are likely serving

Poland has a large technology and business-services sector, and Indian firms work with Polish companies both as clients and as partners. Typical engagements include software development, QA and testing, data and analytics, design, and consulting. Some Indian firms also work as subcontractors to Polish service companies that, in turn, serve clients across Europe.

That subcontracting angle matters for the EDF and GST. Your recipient is the entity you invoice. If that is a Polish company, Poland is your country, even if the end user is in Germany or the UK.

Currency: EUR or PLN?

Option When it fits Practical points
EUR Client is used to paying suppliers in euros; contract is in EUR Easy to receive via SWIFT or a euro collection account
PLN Client strongly prefers local currency Check how your bank and any provider handle PLN receipts
USD Part of a wider group contract in dollars Client converts on their side

Whatever you pick, write the ISO code (EUR, PLN, USD) beside every amount. The EDF records that currency and amount in Part 2B.

Payment routes

SWIFT wire. The Polish client's bank sends funds to your Indian AD bank. Intermediary banks may take charges. Your bank issues a FIRA or advice with a purpose code.

Euro collection account. Some exporters use a provider that offers euro account details, letting the Polish client pay by SEPA transfer as if paying a European supplier. The provider then remits to your Indian bank. Read the provider's current terms on fees, timing and the documentation it gives you; you will need evidence that links each remittance to the invoice. Our article on SEPA transfers from Europe explains how that looks on the EDF.

Either way, the EDF goes to the Indian AD bank where the money lands. If a provider appears as the remitter on your bank's advice, note it in the third-party fields and remarks.

Withholding and the tax residency certificate

Poland applies withholding tax to certain payments made to foreign service providers, depending on the type of service. Whether your service is caught, and how the India–Poland tax treaty affects it, is a question for your client's tax adviser and your CA. We are not quoting rates or categories here.

What tends to happen in practice:

  1. The client asks for a certificate of tax residency to apply treaty benefits. In India, your CA can obtain one through the income-tax process.
  2. Certificates have a validity period, so the client may ask for a fresh one each year.
  3. If tax is withheld, ask for the client's documentation of the deduction. You may be able to claim foreign tax credit in India; Form 67 is part of that.

A withholding deduction means less money reaches India than you invoiced. Keep the deduction evidence with your FIRA and ask your bank how it wants the shortfall documented for EDPMS closure. This is general information, not legal or tax advice.

Worked example

Vistula Bridge Technologies Pvt Ltd, a Noida testing firm, provides QA automation to a Kraków software house. In March 2027 it raises:

Invoice Client Description Currency Amount
VBT/26-27/330 Software house, Kraków QA automation team, March 2027 (4 engineers) EUR 19,200
VBT/26-27/331 Software house, Kraków Performance test suite, one-off EUR 4,800
VBT/26-27/332 Fintech, Warsaw Test strategy consulting, 32 hours PLN 14,400

All three go on Vistula Bridge's March 2027 EDF, due by 30 April 2027, with Poland in the country column, Internet as mode of delivery and Others as mode of realisation. SAC codes follow its CA's advice, for example 998313 for testing and IT support.

Invoice 330, dated 31 March 2027, must be realised by 31 December 2027. It exceeds ₹10 lakh in rupee terms, so when paid it needs the invoice, FIRA and matching instructions. Invoices 331 and 332 are smaller and can be closed through a periodic realisation declaration.

The Kraków client requested Vistula Bridge's tax residency certificate in January, so payments flow without delay.

Invoicing details Polish clients look for

  • Your full legal name, address and tax identifiers (GSTIN and PAN)
  • The client's legal name, address and Polish tax identification number
  • Invoice number, date, service period and a clear description
  • Currency and amount, with bank details including SWIFT and, if using a provider, the euro account details
  • Under LUT: "Supply meant for export under LUT without payment of IGST"

Our export invoice generator covers these fields. Polish companies handle their own VAT on imported services under Polish rules; their accountant will tell you if they need anything specific on the invoice.

Frequently asked questions

Should I invoice Polish clients in euros or złoty?

Either works if agreed. Euros are often easier to receive in India and familiar to Polish companies dealing with foreign suppliers. If you invoice in PLN, check how your bank handles PLN receipts before you start.

Why does my Polish client want a tax residency certificate?

Polish withholding rules can apply to some services paid to foreign suppliers, and a certificate lets the client apply the India–Poland tax treaty. Your CA can obtain one; expect to renew it periodically.

What goes in the EDF country column for a Polish client?

Poland, for the entity you invoice. If you subcontract to a Polish company that serves an end client elsewhere, your recipient is still the Polish company.

Can a Polish client pay me through SEPA?

Yes, if you have euro account details from a payment provider. The provider then remits to your Indian bank. Make sure you get documentation linking each remittance to your invoice for EDF matching.

What if the client withholds tax from my invoice?

Less money arrives than invoiced. Keep the deduction documentation, explain the shortfall to your bank for EDPMS closure, and ask your CA about foreign tax credit in India.

Bottom line

Polish engagements run smoothly when currency, payment route and tax residency paperwork are settled before the first invoice. Then it is a monthly habit: declare each invoice on the EDF with the free EDF form generator and keep the due date table handy.
