EDF Form PDF Download: Blank and Fillable Formats for Services

An EDF form PDF is simply the form in the Annex to the FEMA (Export and Import of Goods and Services) Regulations, 2026, laid out so you can print it, sign it and send it to your bank. A blank PDF is only the starting point: your AD bank needs a filled, signed copy that lists every invoice of the month in Part 2B. The fastest route is to generate a pre-filled PDF rather than hand-write a blank one.

Key takeaways

  • The PDF must follow the Annex layout: Part 1 (1.1 to 1.22), Part 2A, Part 2B, Part 3, Part 4 and Part 5.
  • Service exporters fill Part 1, Part 2B and Part 4; Part 2A (goods) stays blank and Part 3 is usually not applicable.
  • A fillable or generated PDF beats a hand-written blank because totals, dates and amounts in words come out clean.
  • Sign Part 4 after printing, scan every page into one file, and keep the signed copy in your records.
  • Banks set their own submission channels, so confirm whether yours wants a scan, a physical copy or an upload.

What is inside an EDF PDF

Before you download anything, know what a complete form should contain. If a PDF you found online is missing any of these parts, it is not the current EDF.

Part What it covers Services exporter action
Part 1 (1.1–1.22) General information: type of export, AD code, IEC, GSTIN, PAN, exporter, recipient, country, total value in INR Fill in full
Part 2A Goods details Leave blank
Part 2B Services table, one row per invoice Fill one row per invoice
Part 3 Exports by post or courier Usually N/A
Part 4 Declaration by exporter, with alternatives to strike out Strike out, date, sign
Part 5 For the specified authority or bank Leave for the bank

A one-page "EDF" with a handful of fields is almost certainly an old SOFTEX-style or invented template. SOFTEX no longer exists for software exports; everything now goes on the single EDF.

Blank, fillable or generated: which format to use

There are really four ways to get a usable PDF, and they suit different people.

Format Best for Watch out for
Blank printable PDF One or two invoices a month, neat handwriting Overwriting, maths errors, illegible amounts
Fillable PDF Regular filers who want to type into fixed boxes Long recipient addresses may not fit the box
Word file Banks that ask for an editable copy Layout can shift; do not delete fields
Online generator Anyone with several invoices or currencies Check the output before signing

If you prefer an editable document, our note on the EDF form in Word format covers what you may and may not change. For most exporters, though, the free EDF form generator is the cleanest option: you type each invoice once and get a print-ready PDF with Part 2B already laid out.

What a correct filled PDF looks like

A filled PDF that a bank officer can process quickly has a few telltale features. Run through these before you sign.

Part 1 checks

  • 1.1 type of export shows Services (or Software, if that is what you export).
  • 1.3 shipping bill, 1.14 port of loading, 1.18 port of discharge and 1.20 LEO date read "N/A".
  • 1.4 mode of delivery shows Internet for work delivered online.
  • 1.6 AD code is the code your branch gave you, not the IFSC or SWIFT code.
  • 1.12 mode of realisation is usually "Others" for direct transfers and advances.
  • 1.22 total value in INR appears in both figures and words, and the two match.

Part 2B checks

Every invoice of the month has its own row with recipient name and address, country, invoice number, invoice date, currency, amount, net realisable value (NRV), description, SAC code and contract reference. One EDF can cover several recipients, so a month with five clients means five or more rows, not five forms.

Part 4 checks

The alternatives (I/We, buyer/third party, will be received/has been received, foreign exchange/Indian Rupees, goods/services) are struck through so only the true option remains. The date by which full value will be received is filled in, and there is space for the date, signature and name.

Printing, signing and scanning without creating problems

Print on plain A4, single-sided, with no scaling that cuts off the Part 2B columns. If the table spills onto a second page, make sure each page carries enough identification (exporter name and month) that a loose page cannot be mistaken for another form.

Sign Part 4 in ink, preferably in a dark colour that scans clearly. Who may sign, whether a company seal is expected and whether a digital signature is acceptable are questions for your bank; our guide on signing the EDF walks through the common situations.

Scan all pages into a single PDF in the right order. A phone scan app is fine as long as the text is sharp, the page edges are visible and there are no shadows across figures. Name the file so you can find it later, for example "EDF_Oct2026_NimbusLabs.pdf".

Then send it through whatever channel your bank uses. Banks must publish their own policies on accepting EDFs, so the method differs from bank to bank: some want an email to the branch, some use a trade portal in net banking, some still prefer the physical copy. Ask your branch or relationship manager rather than guessing.

A worked example: Asha Design Studio's October file

Asha Design Studio LLP, a branding agency in Pune, raised three invoices in October 2026: USD 2,400 to a client in Austin, GBP 1,150 to a client in Leeds, and EUR 900 to a client in Lisbon. All three go into one EDF for October, due by 30 November 2026.

The studio's accountant enters the three invoices into the generator, which builds three rows in Part 2B with the right currencies and NRVs. She converts each amount to rupees at the rate the studio's books use, arriving at a total of ₹4,26,440. The amount in words converter gives "Rupees Four Lakh Twenty-Six Thousand Four Hundred Forty only" for field 1.22.

She prints two pages, the partner signs Part 4, and the scanned file goes to the bank on 12 November. The signed paper copy goes into the studio's EDF folder with the three invoices clipped behind it.

The two errors that most often send a PDF back are details typed into Part 2A because it appears first, and a scan with the second page of Part 2B missing. This is general information, not legal or tax advice; for anything specific to your business, check with your CA or AD bank.

Frequently asked questions

Is there an official EDF PDF I can download from RBI?

The EDF is the form in the Annex to the Regulations published by RBI, and you can read the >official RBI notification for the layout. Most exporters still prefer a cleanly formatted, fillable version, because the notification text is not designed as a ready-to-print form.

Can I hand-write the EDF on a blank PDF?

Yes, a neatly hand-written form is generally a valid way to complete it, but errors are harder to correct and amounts are easier to misread. If you have more than one or two invoices, a typed or generated PDF saves time and reduces rejections.

Does my bank accept a scanned PDF or does it need the original?

It depends on the bank. Each AD bank publishes its own policy for accepting EDFs, which can include email, a net-banking trade portal or a branch counter. Ask your branch which channel and format it accepts before you send anything.

How many pages should a filled EDF PDF have?

There is no fixed page count. A month with two invoices may fit on two pages, while a month with twenty invoices will run longer because Part 2B grows by one row per invoice. What matters is that every page is included and in order.

Should I password-protect the EDF PDF before emailing it?

Only if your bank asks for it or agrees to it. A password the bank does not have will simply delay processing, so check the bank's preference first.

Bottom line

A good EDF PDF is the full Annex form, filled for your month's invoices, signed in Part 4 and scanned cleanly. Skip the hunt for blank templates and create a print-ready file with our free EDF form generator, then send it the way your bank asks.
