EDF Filing for Service Exporters in Kochi

Kochi's service exporters, from software teams in Kakkanad's IT parks to design studios in Panampilly Nagar and consultants working from home in Aluva, all follow the same EDF rule. Each month's export invoices go on one Export Declaration Form, due within 30 days from the end of that month, filed with your AD bank or, if you are an SEZ unit, with the SEZ Development Commissioner. What differs in Kochi is the mix: a large share of SEZ units, strong regional banks and many small firms run by founders who handle the banking themselves.

Key takeaways

  • Non-SEZ service exporters in Kochi file the EDF with their AD bank, the bank where foreign payments land. Software exporters can also choose STPI.
  • Units inside an SEZ file with the SEZ Development Commissioner instead of the bank.
  • Many Kochi businesses bank with Kerala-headquartered banks as well as national and foreign banks; every bank publishes its own EDF acceptance policy.
  • October 2026 invoices are due by 30 November 2026; each invoice must be realised within 9 months.
  • A fixed monthly routine matters more than location. Set it up once.

Who exports services from Kochi

Without inventing numbers, the broad shape is familiar to anyone who works in the city:

  • IT and software companies in and around Kakkanad's IT parks and SEZ areas, from product startups to delivery centres of larger groups.
  • Engineering and maritime services, given the city's port and shipbuilding history: drawings, documentation and technical support for overseas clients.
  • Design, animation and digital marketing studios serving clients in the Gulf, Europe and North America.
  • Back-office, accounting and healthcare support services, often small teams with a handful of foreign clients.
  • Independent professionals, such as doctors, tutors and consultants, working with overseas clients.

Kerala's strong links with the Gulf mean many Kochi exporters invoice clients in the UAE, Saudi Arabia, Qatar and Oman, alongside the US and Europe.

Where to file: a quick decision table

Your situation File the EDF with Note
Company or firm outside an SEZ, services other than software AD bank The bank where export proceeds land
Software exporter outside an SEZ AD bank or STPI STPI certification no longer mandatory
Unit inside an SEZ SEZ Development Commissioner Field 1.5: category SEZ
Proprietorship with a current account AD bank Assume the EDF applies
Individual freelancer Check with your bank RBI said on 7 October 2026 that individuals are not required to report; FAQs awaited

If you are unsure whether your premises are within an SEZ, check your unit's approval documents rather than relying on the building's name. Our guide on SEZ units and the EDF explains the Development Commissioner route.

Banks Kochi exporters commonly use

Kochi businesses use a wide spread of banks: national public sector banks, large private banks, foreign banks and Kerala-headquartered banks such as Federal Bank, South Indian Bank and CSB Bank. For the EDF, which bank you use matters in two ways.

  1. It is your AD bank if export proceeds land there, so the EDF goes to it.
  2. It sets its own process. Under Regulation 19, each bank publishes its policy for accepting EDFs, so the channel (branch, email or online) varies.

Do not assume one bank's process applies at another. Ask your branch or relationship manager three questions: which branch handles my export transactions, what is its AD code, and how do you accept EDFs? We have pre-filled forms for many banks, including Federal Bank and South Indian Bank, with the bank name already in place.

A Kochi example

Backwater Bytes Pvt Ltd is a 25-person software company in Kakkanad, outside the SEZ. It banks with a Kerala-headquartered bank where its foreign payments arrive. In October 2026 it invoiced:

Invoice Date Client country Amount
BB/26/0144 2 Oct 2026 United Arab Emirates USD 11,800
BB/26/0149 13 Oct 2026 Germany EUR 6,250
BB/26/0156 27 Oct 2026 United States USD 4,900

It prepared one EDF with three Part 2B rows, ticking "Software" at field 1.1 and "Internet" at 1.4, and filed with its AD bank on 19 November 2026, ahead of the 30 November deadline. A sister concern of the same founders operates from an SEZ unit; that entity files its own EDF with the SEZ Development Commissioner. Two entities, two routes, same month.

A monthly routine that works

  1. By the 5th: list last month's export invoices, with client, country, currency, amount and SAC code.
  2. By the 10th: calculate realisation deadlines (9 months from each invoice date; 12 for rupee invoices).
  3. Mid-month: prepare the EDF, sign and submit through your bank's channel (or to the Development Commissioner for SEZ units).
  4. Same day: log the submission date and any acknowledgement in your register.
  5. As payments arrive: collect FIRAs, check purpose codes and match each payment to its invoice.
  6. Quarter end: prepare a periodic ₹10 lakh realisation declaration for small invoices that have been paid.

The EDF due date calculator takes care of step 2.

Local practicalities

  • Monsoon and holiday weeks: Onam and other holidays can slow branch responses. File early in those months rather than on the deadline.
  • Gulf clients: Gulf payers sometimes pay through exchange houses or group treasury companies. If the payer differs from your client, look at the EDF's third-party fields and keep the client's confirmation.
  • Founder-run firms: if one person does everything, a shared folder for each month's EDF, invoices and FIRAs makes handover painless.

This is general information, not legal or tax advice. GST, including LUT for zero-rated exports, runs separately and is unaffected by the EDF.
