Debit Card Block Request Letter to Bank

If your debit or ATM card is lost, stolen or misused, block it immediately through your bank's mobile app, net banking, SMS service or official helpline, then send a written card block request letter to your branch as a formal record. The letter should give your name, account number, the last four digits of the card, when and how it was lost, and whether you need a replacement. A sample follows.

Key takeaways

  • Speed matters most: use the bank's instant blocking channel first, the letter second.
  • The letter creates a dated written record, useful for disputes, insurance and business accounts.
  • Never write the full card number, PIN or CVV in the letter; the last four digits are enough.
  • Mention any unauthorised transactions separately so the bank can open a dispute.
  • For business accounts, the authorised signatory should sign on the business letterhead.

Block first, write second

A letter takes time to reach the right desk. A stolen card can be misused in minutes. So the order is:

  1. Block instantly. Use your bank's mobile app or net banking card controls, the official SMS facility if your bank offers one, or the customer care number printed on your bank's official website or passbook. Do not search online for helpline numbers; fraudsters post fake ones.
  2. Note the reference. Write down the complaint or blocking reference number, the time and the channel used.
  3. Check recent transactions. Look for anything you did not make.
  4. Send the letter. Give the branch a written request, quoting the reference.
  5. Request a replacement if you need one.

Prompt reporting also matters for how liability for any unauthorised transactions is handled. Ask your bank about its policy, and report quickly either way.

Sample for a business account

For a company, LLP or firm, put the letter on your letterhead and have an authorised signatory sign. Mention the employee to whom the card was issued, if it was an employee card.

If there are unauthorised transactions

If you spot transactions you did not make:

  • List each one in the letter or a separate complaint: date, time, amount, merchant or ATM location.
  • Ask the bank to raise a dispute or chargeback and give you a complaint reference.
  • Some banks ask for a police complaint for theft or fraud; ask yours what it needs.
  • Keep copies of everything you send and receive.

Change your net banking and UPI passwords or PINs if you think your phone or wallet details were also compromised.

After the card is blocked

Automatic payments. Subscriptions, utility bills and other auto-debits linked to the old card will fail. Update them once the replacement arrives.

Business accounts with foreign receipts. A blocked debit card does not affect incoming foreign remittances or your EDF filings, which are linked to the account, not the card. But if the same incident involved a lost phone with banking access, tell your bank so it can secure net banking and any trade portal logins too.

Records. Keep the blocking reference, your letter and the bank's confirmation together. This is general information, not legal or tax advice; your bank's terms govern blocking, replacement and disputes.

Frequently asked questions

Is a letter enough to block my ATM card?

A letter alone is too slow for a lost or stolen card. Block the card immediately through your bank's app, net banking, SMS facility or official helpline, then send the letter as a written record.

Should I mention my full card number in the letter?

No. Use only the last four digits. Never write your full card number, PIN, CVV or OTP in any letter or email.

Who signs the card block letter for a business account?

The authorised signatory on the account: a director, partner or other authorised person whose signature the bank holds. For a proprietorship, the proprietor signs.

How do I report fraudulent transactions after blocking?

List each unauthorised transaction with date, amount and merchant, and ask the bank to register a dispute. Get a complaint reference, and check whether the bank needs a police complaint.

Will blocking my debit card stop foreign payments to my account?

No. Blocking a card affects card transactions only. Incoming remittances and your account remain active, although auto-debits linked to the card will fail until updated.

Bottom line

Block the card instantly through an official channel, then put it in writing with the reference number. Use the free card block request letter to prepare a clean, signed record in a couple of minutes.
